LWWL Awards Privacy Notice

What information do we collect from you?

When a nomination is submitted for the Love Where We Live Awards, either via our online nomination form or by sending in a completed paper copy of the nomination form, we will collect personal data on both the nominator (the person making the nomination) and the nominee (the person or organisation being nominated).

We will collect the following information:

Nominator:

Name, contact phone number and email

Nominee:

Name, age (if under 16), contact phone number and email

If the person being nominated is under 16, we will also require confirmation of parental consent; if parental consent has not been obtained we will not be able to accept the nomination.

We will also collect information on the individual or organisation contained in the nomination itself, detailing why the person or organisation has been nominated and why they deserve an award.

Why do we collect this information?

We collect this information to enable us to facilitate the Awards programme.

Who might we share your information with?

The names of the individuals and organisations nominated will be disclosed to the judging panel as part of their selection process. The judging panel comprises the sponsors of the awards and senior Council staff.

We will share details of the finalists with local media, after obtaining the consent of the individuals and organisations concerned.

What do we do with your information?

We will use the data on both the nominator and nominee to contact those individuals with regards to the Awards, if necessary.

We will contact a nominator if we have a query regarding their nomination.

We will contact a nominee if they are selected as a finalist by the judging panel.

The names of the individuals and organisations nominated will be disclosed to the judging panel as part of their selection process. Details of the finalists will also be disclosed to the local media, with their consent, for promotional purposes.

Nominators and nominees may be contacted the following year with regards to that year’s awards campaign to invite them to nominate again.

We won't use it for any other purposes without your consent, or without telling you first.

Sometimes we have to give it to other authorities, organisations or people. This would be for the prevention or detection of crime, or because of legal matters, for example. We don't need your consent to do this, but if we can, we'll let you know if we've passed your information on.

How long do we keep hold of your information?

We will only keep it for as long as is necessary for the purpose for which it was collected.

We will hold nominator and nominee details for a period of 18 months from the date of receipt for the purposes of contacting them the following year to see if they wish to be involved in the awards programme again.

Once we no longer need it, we will keep the data for a set period (a retention period) but not use it. When the retention period expires we will delete your information from our records.
